Staff the suite and provide event maps to all volunteers. Restock suite with goodies as needed.
EVENT DAY SET-UP
Time: 1:00 - 3:00 pm
Number of Volunteers Needed: 10
Distribute books to author stations. Position signs at author and food stations.
BALLOONS & DECORATIONS
Time: 2:00 – 4:00 pm
Number of Volunteers: 6
Using helium tanks, blow-up balloons, tie with ribbons, decorate stations.
BOOK BAG GIVE AWAY STUFFING
Time: 2:00 – 4:00 pm
Number of Volunteers: 10
Stuff bags with giveaways. Stuff programs with addendums. Tie ribbons onto bookmark Greeting & Readings coupons and distribute to check out stations.
DOOR MONITORS/GREETERS/TICKET TAKERS
Time: Shift from 5:30 - 7:00 pm (6), 7:00 - 8:00 pm (4) and 8:00 – 9:30 pm (6)
Number of Volunteers Needed: 16
Greet guests at both entrances, take tickets at the door and distribute programs and bags. Validate parking.
At the conclusion of the event, will check to see that guests have paid for their purchases or direct them to the nearest check out station. Provide parking validation to guests if needed and distribute G&R coupons.
VOLUNTEER CHECK-IN
Time: 2:00 – 4:00 pm (4), 5:00 – 6:30 pm (4), 6:30 – 8:00pm (2)
Number of Volunteers Needed: 10
Work with the volunteer coordinator to check-in volunteers as they arrive, provide them with directions to their assigned volunteer position and a brief description of what’s expected of them.
AUTHOR CHECK-IN
Time: 5:30 - 6:30 pm
Number of Volunteers Needed: 4
Check-in authors and their guests, direct authors to their tables, match hosts to authors.
AUTHOR HOSTS
Time: 5:30 – 9:00 pm sporadically.
Number of Volunteers: 10-12
Each volunteer will be assigned to assist 4 – 8 authors located in close proximity, to check on and assist them as needed. Please visit with your author and offer them a beverage or rest room break if needed.
TICKET SALES & WILL CALL
Time: 5:30 - 7:00 pm (4) and 7:00 – 8:30pm (2)
Number of Volunteers Needed: 6
Assist guests with ticket purchases and distribute will-call tickets.
LITERACY WORKS BOOTH
Time: 6:00 - 7:30 pm and 7:30 – 9:00 pm
Number of Volunteers Needed: 2 each shift
Sit at table to sell book pins and contribution cards. Take information for those interested in volunteering as a tutor or classroom assistant.
AUCTION
Time: 2:00 – 4:00 pm - set up (6), 5:30 - 9:30 pm – close (6)
Number of Volunteers Needed: 12
These volunteers will monitor the auction tables and bidding process and close the tables at the appropriate time. At close out they will complete the paperwork for check-out, clearly mark winner on tabletop signs and transport auction items to the 1st floor for check out.
CLEAN-UP
Time: 9:00- 10:00 pm
Number of Volunteers Needed: 12
Remove all books and transport to 1st floor holding area.
